A step-by-step tutorial on how to create pro formas for clients with detailed instructions and statergies to create multiple proforma's under the same client and a different client.




Start from the Trip: Pro Forma invoices are typically generated from the Trip Quote after defining your margin (e.g., 20%), allowing the system to automatically calculate the selling price. Alternatively, you can create them from the Trip Pricing section by selecting the payment client and confirming the booking first.


Understand Pricing Structure: You may price the trip per person or per service, depending on your commercial setup. The Pro Forma will reflect the selected pricing logic and participant count.


Adding Products Correctly: Products from the trip populate automatically. If adding manual lines, always include a Catalog ID — without it, the system will not allow you to save and finalize the Pro Forma.


Currency Rule: Currency can only be modified when no product lines are present. To change currency, first remove all lines, then select the new currency and re-add the products.


Multiple Pro Formas: The system supports generating several Pro Forma invoices for the same trip and client, useful for staged payments or partial billing.


Billing Different Entities: Pro Formas can be created for:

  • Additional participants added to the trip

  • External organizations or companies (via the Accounting section)Each Pro Forma must be properly linked back to the relevant trip and client reservation for accurate tracking.
