The video provides a step-by-step guide on how to refund a client using a credit card, including creating a receipt in minus, credit invoicing, and creating a small invoice for cancellation fee.
Step 1: Create a Negative Receipt
Start by creating a receipt with a negative amount, representing the refund to the client.
Open the Trip and go to Client Payments.
Click the three dots menu next to the payment and select Receipt.
Enter the refund amount as a negative value.
Select the payment method (e.g., Credit Card).
When processing a refund to a credit card, two options may appear:
Use TokenUses the previously stored card token from the original transaction.
Make Payment Defrayement: Sends the refund request to the credit card processor to actually return the funds to the client’s card.
6.Make sure the defrayement option is checked if you want the system to process the refund through the payment gateway.
Click Save Document.
Step 2: Create a Credit Invoice
After creating the negative receipt, you must generate a credit invoice to adjust the accounting records.
How to do it:
Click the three dots menu next to the original invoice.
Select Credit Invoice.
Click Save Document.
This step officially reverses the invoice in the accounting system.
Optional Step 3: Create a Cancellation Fee Invoice
If your company policy includes cancellation fees, you can create a new invoice reflecting the amount you wish to charge.
How to do it:
Open the invoice menu.
Remove any services that are no longer relevant.
Keep only the cancellation fee line.
Click Save Document.
This generates a small invoice representing the cancellation fee.
